Midtowne Realty Inc. is Hiring a Front Office Manager Near Fort Wayne, IN

Summary:

The Front Office Manager is responsible for managing residents of rental properties along with day-to-day operations of the office. This includes managing residents through leasing, through tenancy and ensuring move-out and sometimes collections are handled correctly. In addition, the Front Office Manager ensures that the entire office has what it needs to operate efficiently. The categories below are listed in order of priority and have an estimated percentage of total time committed.

Essential Responsibilities:

Resident Relations Tasks: (60% of total)

· Present properties and provided amenities in a positive light to prospective residents to help secure rental agreement

· Confirm rental application data by performing background checks, landlord references, credit checks and other inquiries to ensure prospective residents are qualified

· Prepare and review leasing documents with new residents and manage new resident files

· Collect and receipt and deposit rent payments, security deposits and application fees

· Deal with residents’ concerns and requests in a timely manner to ensure resident satisfaction

· Send resident infractions for lease violations, investigating and following up as needed

· Timely address escalated resident issues with great customer service

· Collaborate with appropriate field team when needed to schedule Occupancy Checks

Eviction/Occupancy Tasks: (30% of Total)

· Process all resident move out according to Move Out Checklist to ensure all residents are moved out of appropriate systems in a timely manner and manage all necessary dashboard information/alerts

· Prepare eviction files on notices of non-compliance when needed

· Demonstrate knowledge of local and federal laws regarding notices, evictions, lockouts, etc while managing the eviction process according to said eviction law

· Communicate with residents daily/weekly during the eviction process, educating them on their options, fees, and the process expectations

· Effectively communicate any scheduled lockouts, court dates, or return of possession dates/details to all appropriate team members

· Maintain timely collections reports that will be monitored for rent due on a regular basis as well as setup and monitor payment arrangements for past due rent

· Process past resident collection checks as they are received

· Review resident ledgers for accuracy as part of the collection process

Office/Property Management Tasks: (10% of total)

· Establish rental rates by researching local markets and calculating costs to ensure fair and accurate pricing

· Acquire property photos for unit advertisement and advertise available properties using a variety of media and promotional materials to help secure quick rentals of all properties

· Inspect properties to maintain our level of company standards

· Train, direct, motivate and develop property staff to ensure proper performance is obtained to achieve established goals·

· Support day-to-day office operations and ordering of office equipment and supplies

· Keep office organized and tidy to facilitate a good working environment

Skills:

· Proficient computer skills

· Excellent communication skills (oral and written)

· Ability to follow verbal and written instructions

· Conflict resolution skills to demonstrate effective problem solving and conflict management

· Strong organizational and time management skills to prioritize workload

· Attention to detail and accuracy and ability to multitask

· Ability to work independently

· Ability to have open and respectful communication with coworkers and tenants

· Strong management skills- including managing personnel

Additional Requirements:

· Valid Driver’s license

· Operational smart phone with cellular data plan (phone stipend available)

· Operational vehicle

Working Conditions:

· Prolonged periods sitting at a desk and working on a computer

· Must be able to lift up to 15lbs at a time

· Must be able to traverse a variety of properties with stairs and in a variety of weather

Benefits/Total Rewards:

· Monthly Profit Sharing check (after 90 days of employment)

· 40 hours of PTO per year (after 90 days of employment) for full time employees

Pay: $20.00 - $25.00 per hour
